MEETING SUMMARY -- POINTS EVENT #2 PLANNING MEETING

Attendees: Matt, Scott, Chris, Ben, Don, Chuck

Task List for April 20 Event
1. Items to purchase: 100 lbs of flour (bulk bags, 2 folding chairs, 100 bottles of water, colored wristbands for non-drivers, and 4 rubbermaid totes (to cover timing equipment). Responsibility: Chuck B and Don P
2. Portable Toilets -- Matt G to arrange.
3. Domino's Pizza -- Chuck B to arrange.
4. Flour dispensing machine. Needs another notch to apply proper level of flour. Chuck will bring a hacksaw to the event.

April 20 Points Event Number 2 Assignments
Course Design -- Chris
Waiver Station -- Chuck B and Matt L.
Registration -- Matt G and Don P
Timing Equipment Setup -- Ben
SSS: Need volunteer for Solo Safety Steward.
Trailer: Curtis W ????

Other comments: Waiver station needs to remind everyone to completely fill out both sides of tech cards. Non-drivers will be given a different colored wristband. Registration crew needs to hand out chalk at registration to encourage getting the course marked in a timely manner. If you attended SSS training a few months back, please remember to bring your form so we can have more official stewards in the future. Matt G stated the AM transmitter should be functioning for the next event, so drivers can listen for times on their radios.

Items to Discuss with OMR Board and Jonathan
1. Do we now have temporary weekend membership forms?
2. Since the temporary weekend membership forms were not on-hand for the last event, were they filled out retroactively and sent in?
3. Can we get the electronic timing board sent back? Matt G may be able to repair it himself (as he is an electrical engineer).
4. Will Curtis W bring the trailer again?
5. Trophy discussion.

1. All items except for the colored arm bands were approved by the board. The board would prefer that a driver's wristband be stamped (which we could do at the waiver station or I would be just as happy to see it stamped after they pay the entrant's fee). Jeff Moore is having a self-inking stamp made for the next event.

2. The board has approved the rental of one (1) portable toilet for the next event. If a protable toilet is needed for any other event we will need further approval. We need to verify with Duck's Stadium that their facilities will be open after April's event.

3. Domino's Pizza is a go!

4. Jeff Moore will be modifying the flour machine before the next evet to assure it is working before we get there and so that we don't have to spend time on it the morning of the event.

The board made note of the need to get the commitment of two SSS for the next event. The trainees from last event are encouraged to attend their final training this next event so that we will then have additional SSS's. Curtis will either bring the trailer that morning around 7:00 AM or have it there the night before.

1. We now have them.
2. The forms were sent in.
3. Electronic timing board damage was more than a capacitor. It had suffered "burn damage that created a hole in the electronics board". We will not be asking for it's early return and will await repair by the company who currently has it.
4. Curtis will bring the trailer again.
5. 1st, 2nd, and 3rd trophies were approved. Jonathan will be in contact with the person who originally ordered the orange cones so that we can order more 1st and 2nd place cones. We currently have an adequate amount of 3rd place cones.

The Board meeting minutes should be hosted on the Documents portion of the site within the next day.

I just booked a portable toilet through "Johnny on the Spot". It cost us $69.68 for 10 days. The will have to drop it off on Friday afternoon and will pick it up on Monday morning. I will have to go down there on Friday afternoon to sign for it but other than that it seems we are ready to go in that department.

I will get the reciept to the board at the next meeting.

Given your course design where do you think it would be best to place it?

Ima going to say we should put it at the gates of the park, im going to do the course, normal style going down and coming back up! Stageing and parking at the top of the hill!

Its going to be a good one!

Excellent. I will put a sign on it that says for OMR SCCA use on Sunday April 20th, 2008. Hopefully the sight of a Port-a-Pottie won't annoy the stadium guy... I thought about putting a lock on it to make sure no one messes with it, as well.
