Minutes of the Ozark Mountain Region SCCA BOD 6/2/09. Members present: RE Curtis Wood, Jeff Moore, Loren Moore, Jim Rowland, Sam Henry, Bud Weeks, plus Matt Longpine and other solo committee members. Treaurers report: current balance $XXXX, which shows an increase of about $XXXX from the last autocross and the payment from the 4-State Corvette Club. A bill is expected for repair of the display board. Motion to accept report by Jeff, second by Loren. Passed Secretary's report: Motion to suspend reading of minutes by Jeff, second by Sam. Passed. Discussion that BOD members would like opportunity to read minutes after a BOD meeting. Motion to post minutes to all BOD members for comment for 5 days by Jeff, second by Jim. Passed. Autocross committee discussion: Waiver station will need to have a split shift. Chief of workers will also be helmet coordinator. The $5 discount for preregistration will start in August. Discussion of the need to buy more loaner helmets to encourage new riders and more participation. New business: Bud would like to explore the possibility of staging an autocross in Pittsburg, KS, in the fall in conjunction with the PSU SAE club. Motion for Bud to explore that by Jeff, second by Loren. Passed. Midiv planning discussion: Jim has arranged catering and banquet space at the Neosho Civic Center. Alcohol can be served at the civic center but a pub and grill will provide service for $200. Each person will purchase their own drinks. The civic center will provide kitchen space for the caterer for $62.50. Motion to spend $62.50 for kitchen space by Jeff, second by Loren. Passed Motion to spend $200 for cash bar by Curtis, second by Jeff. Passed. Event registration to go on-line soon. All motels in the immediate area will offer discounts for participants. Discussion of report from Matt Longpine that Reliable Chevy will provide sandwich platters for Friday night check-in, but they want to know how much. Matt to use a $750 amount in that discussion. Reliable has already purchased water. Discussion of sponsors needed for printing costs, door prizes, gift cards, etc. Course design to go to Donna Hill, Midiv Solo Steward. Jim to contact the Neosho Chamber of Commerce re: other benefits. Discussion of the need for additional cones for the Midiv. Motion to purchase 140 new cones by Loren, second by Bud. Passed. Discussion of timing equipment. Two timing heads have been ordered. The timing box worked well last auto-x once the bad internal battery was replaced. NEOKLA will provide back-up timing equipment for the Midiv. OMR will allow a free entry worth $65 for whoever brings it. Also St. Louis Region may provide timing equipment for secondary back-up. The display board is being tested this week and should be shipped by Friday. OMR's lasers worked well last event except for the old starter laser. Jeff will provide an extra generator. Discussion of need for a good printer for Midiv. Purchase one? Must be able to print about 30 pages. Signs will be needed to direct people to the site. Jim will check with SCCA re: signs and other help. Maps of site and area will be put on-line. Curtis suggested a Q&A section on website. Jim to do. A novice mentor will be needed. To use the civic center OMR must pay $1000, of which $562.50 will be refunded. Also, 1/4 the cost of the food must be paid up-front. Motion to issue a check of $1000 to Neosho Civic Center for deposit and payment by Jeff, second by Loren. Passed. Motion to pay $250 for 1/4 of the estimated food cost by Loren, second by Sam. Passed. Equipment and supplies for the next Ducks event are OK except for flour and water. Discussion of website hosting.
